SMS messages give you a unified overview of all SMS messages that have been sent from the system to customers and contacts. You can keep track of what was sent, when it was sent, to which phone numbers and what status the send has. In addition, you can send new SMS messages and resend messages that did not reach their destination.
Open Financial, select Calendar / communication, and click SMS messages.
If you cannot see the menu item, you probably do not have permission for it. Contact support.
When you open SMS messages, you see a list of all sent SMS messages. The Org. unit filter is by default set to your current org. unit, so you see messages from your unit right away.
See How to search in lists for more about searching and filtering.
Text: The content of the sent SMS message. You can filter the list by typing in the text field above the column.
Phone: The phone number the SMS message was sent to. You can filter the list by typing in the text field above the column.
Sent on: Date and time for when the SMS message was sent. You can filter on a date range and sort the column.
SMS status: The current status of the send. You can filter on one or more status values and sort the column. The possible status values are:
Unknown — the system has not yet received status information from the SMS gateway.
Accepted — the SMS gateway has accepted the message for sending, but delivery status is not confirmed. An SMS with this status can be resent.
Rejected — the SMS gateway has rejected the message and will not attempt to send it.
Received — the SMS message has been delivered and confirmed received by the recipient.
Consent is not registered — the SMS message was not sent because no consent for SMS sending is registered for the recipient.
Sending failed — a technical problem prevented the send. An SMS with this status can be resent.
SMS phone number is not entered — the SMS message was not sent because no phone number is registered for the recipient.
Timeout during status check — the system attempted to retrieve the delivery status but did not receive a response within the allowed time. An SMS with this status can be resent.
Sending SMS is not allowed — SMS sending is disabled in the system settings.
Invalid representative for unit — the SMS message could not be sent because the organizational unit's representative is missing or has an incorrect SMS configuration.
Resent — the message is a resend of a previous SMS message.
Org. unit: The organizational unit the SMS message was sent from. The filter defaults to your current org. unit, so you do not see messages from other units you are not associated with.
Resent: A marker showing whether the row is a resend of a previous SMS message. The field is shown as a checkmark and fills a narrow column at the far right.
The Refresh button manually reloads the current page in the overview. Updating otherwise happens automatically in real time via the system's message service: when the status of a sent SMS changes, the list updates by itself, without you needing to click anything.
The Send SMS button opens a dialog where you can create and send a new SMS message. The button is always available, unless you are in a context that requires a selected contact and no contact is selected.
The Resend SMS button is only active when you have selected a row in the list, and the selected SMS has one of the following statuses: Accepted, Timeout during status check or Sending failed. If you click the button, the message is sent again with the same text and the same recipient. If the resend succeeds, the list updates automatically, and the new message will have the status Resent marked.
When you click Send SMS, a dialog opens with the following fields and settings.
Phone: Dropdown list of the phone numbers registered for the selected contact. If there is only one phone number, it is pre-selected. If there is more than one, you can select the desired one in the list. The field is only shown when the dialog is opened in the context of a specific contact. If you open the dialog without an associated contact, the field is instead a free-text field where you enter the phone number manually.
The system checks whether consent for SMS sending is registered for the selected contact and the selected phone number. If consent is missing, a warning is shown directly at the phone number field, and the message will not be sent.
SMS text: A text field where you write the content of the SMS message. The field is mandatory and can contain a maximum of 1000 characters.
Below the text field, ongoing information is shown about how many characters you have used in the current SMS, and the total number of SMS messages the message will take up. A single SMS can contain up to 147 characters. If you exceed 147 characters, the message is automatically split into two or more SMS messages, and the character counter shows the current number of SMS messages that will be sent.
Keep window open: A checkbox that determines whether the dialog window should remain open after sending. If you clear the checkbox, the window closes automatically when the SMS message has been sent.
In the SMS text field, you can insert predefined standard texts directly into the message. Click the Standard texts button above the text field to select a standard text. The selected text is inserted into the text field at the current cursor position. You can read more about creating standard texts in the article Standard texts.
Click Send to send the message. The system confirms whether the send succeeded. If Keep window open is checked, the window remains open so you can send a new message. Otherwise the window closes automatically.
