Label journals are a staging point for label printing. You gather the product lines you want labels for in a journal and then send the journal to a label printer via the agent or retrieve it as a report. A journal can be reused and cleared, and it can be associated with a specific org. unit. Lines can be added manually, via barcode scanning or by importing from return sales.
Label journals are used from several places in Financial: from the product list, the variant list, the product instance list and from inventory journal lines. The journal gathers the lines and forms the basis for label printing.
Open Financial and navigate to Product and then Label journals. If you cannot see the menu item, you probably do not have permission for it. Contact support.
The journal list shows all created label journals with the columns Name, Description and Count (number of lines in the journal). Journals that contain lines are highlighted in bold, so you can quickly see which ones are ready for printing.
"+" (Create): Always active. Opens the create/edit form inline, so you can create a new journal.
Edit button (pencil): Active when a journal is selected. Opens the selected journal's details for editing.
Delete button (cross): Active when a journal is selected. Deletes the journal after confirmation. The entire journal, including all lines, is removed.
Show lines: Active when a journal is selected. Navigates to the line view for the selected journal. You can also double-click a row in the list to open the journal's lines.
Print: Only shown when agent printing is available, and is active when a journal is selected. Sends the journal directly to the label printer via the agent. If the setup requires template selection, the print dialog opens first.
Clear: Active when a journal is selected. Deletes all lines in the journal, but keeps the journal itself. The journal is then empty and ready for new lines.
The form opens inline in the journal list, either when creating or when editing an existing journal. Finish with Save to save, or Cancel to discard.
Name: Required. Give the journal a descriptive name that makes it easy to recognize, for example "Summer sale" or "New collection."
Description: Optional. A more detailed explanation of the journal's purpose, for example "Labels for products in the summer sale campaign."
Org. unit: Optional. Associates the journal with a specific store or department. Has a clear option, so the association can be removed again.
When you open a journal via "Show lines" or double-click, you navigate to the line view. Here all product lines in the journal are shown in an in-place editable grid. Changes in the grid are saved automatically as soon as you leave a cell with valid data — there is no separate save button for the lines.
The back arrow at the top left with the text Label journals takes you back to the list of journals.
Add to delivery journal (dropdown button): Active when a line is selected. Adds the selected line's product to an inventory purchase journal.
Print: Only shown when agent printing is available. Prints the entire journal from the line view via the agent. May require template selection (see the print dialog below).
Add from return sales: Always active. Opens a date picker dialog where you specify a period and import return sale lines from that period into the journal.
Clear journal: Active when a journal is loaded. Deletes all lines in the journal without deleting the journal itself. Corresponds to "Clear" in the journal list.
Delete button (cross): Active when a line is selected. Removes the selected line from the journal.
All columns in the line view can be edited directly by clicking the cell. Changes are saved automatically.
Product/variant: Combined lookup for searching and selecting product and variant. When a product is selected, the cursor automatically moves to the next cell.
Serial number: Only shown if product instances are enabled in the setup. Used to identify a specific product instance via its serial number.
Instance identifier: Only shown if product instances are enabled. Alternative identification of a product instance using the instance identifier.
Count: Numeric field. Specifies how many labels should be printed for this line.
Sales price type: Dropdown. Select which price type should be shown on the label, for example standard price or a campaign price type.
Sales price incl. VAT: Currency field. The specific price printed on the label.
Barcode: Lookup. Select which barcode should be shown on the label. Possible values are: Internal key, EAN, Product number, Variant EAN, Variant number and Custom.
A long press or right-click on a line opens a context menu with the following options:
Open product: Opens a popup window with product information for the line's product.
Open serial-number item: Only shown if the line has an associated product instance. Opens a popup window with instance information.
While the line view is active, the system listens via SignalR for barcode scanning from a connected scanner. When a barcode is scanned, a new line is automatically created with the matched product, count and sales price. The line is placed in the grid and the cursor moves to the count column, so you can immediately adjust the count if necessary.
The Add from return sales button in the line view opens a dialog where you specify a period.
From date: The start date of the return sale period you want to import lines from.
To date: The end date of the period.
Confirm with OK. The system imports return sale lines from the specified period and adds them to the journal. Cancel with Cancel to discard.
When you add products to a label journal from the product list, the variant list or inventory journal lines, a confirmation dialog with a list of candidate lines may open. Here you can review and confirm the lines to be added before they land in the journal.
Printing is done via the Print button in either the journal list or the line view. The button is only visible when agent printing is available in the setup.
If the setup requires template selection, a dialog opens before printing.
Template: Dropdown. Select which label template (report) should be used for the printout. The templates are configured in the report module and linked to label journals via the report tag for label journals.
Report parameters: Dynamic section that is only shown if the selected template has visible parameters. Here you can specify any parameters before printing.
Confirm with Retrieve to send to the label printer, or Cancel to discard.
