The chart of accounts printout gives you a complete overview of the chart of accounts for the selected accounting period. It is a print-friendly version of the accounts you otherwise work with under Accounting, and it is typically used when you want to review the setup of the chart of accounts on paper, share it with your accountant or document how the accounts are set up.
For each account, the printout shows, among other things, account number and account name, account type (e.g. heading, sum account, profit/loss or balance account), balance to date, any VAT code as well as the range of accounts that a sum account adds together. In addition, the most important setup information for the account is shown, e.g. whether the account is active, and whether an actor is required when posting. So you get both the structure of the chart of accounts and the current balances in one printout.
At the top of the printout, the department (organizational unit) the printout covers is shown. If you do not limit it to a specific department, the printout covers all departments.
1. Go to Financial and open Accounting → Chart of accounts. 2. On the Chart of accounts page, click the printer icon in the top right corner. 3. Select the Chart of accounts printout. 4. Fill in the fields you want to limit the printout with (see the description below). 5. Click the print format you want. You can get the printout as PDF or as Excel (xlsx), if you want to work further with the figures in a spreadsheet.
Access to Accounting requires that your user has permissions to the accounting part. If you are missing the printer icon or the Chart of accounts menu item, you should contact the person who administers users and permissions at your company.
Before you print, you can limit which accounts and which department the printout should cover.
Here you specify the account range the printout should include. From account is the lowest account number, and To account is the highest. If you leave From account blank, there is no lower limit, and if you leave To account blank, there is no upper limit. If you fill in neither field, the entire chart of accounts is included.
Here you determine whether accounts without a balance (0 accounts) should be included in the printout. You can choose:
Yes — zero accounts are included, so the entire structure of the chart of accounts is shown, including accounts with no movements.
No — zero accounts are excluded, so you only see accounts with a balance.
Not selected — no special filtering is applied to this point, and the printout follows the default behavior.
Here you can limit the printout to one specific department (organizational unit). If you leave the field blank, the printout covers all departments. Select a department if you only want to see the chart of accounts for that part of the business.
