Accounts payable balance shows the suppliers' (creditors') total balance calculated as of a selected fiscal date. For each supplier you see the total balance and the overdue balance, and the amount is broken down by age intervals so you can see how old the debt is — from not yet due through intervals such as 0-1 week, 1-2 weeks, 2 weeks-1 month, 1-2 months, 2-3 months and up to over 3 months, in addition to any earlier overdue amounts.
The report is used to get an overview of what the company currently owes its suppliers, and to assess how much of the debt is overdue and for how long. This makes it well suited for cash-flow management, for planning payments and for reconciling supplier debt against the accounts.
The report is started in Financial. You will find Accounts payable balance in two places: from the supplier overview (under Suppliers) and from the accounting report menu. Select the report in the report selector, fill in the parameters and run it.
The report comes in both a PDF variant and an Excel variant. The PDF variant is best for printing and review, while the Excel variant can be split per organizational unit and is suited for further processing.
When you start the report, you can narrow the result using the following parameters.
Limits the balance to one or more organizational units. If you leave the field empty, all units you have access to are included.
The date up to and including which the balance is calculated. The report shows the supplier debt as it appears as of this fiscal date.
Determines which entries are included. You can choose Overdue only (arrears), Not overdue or All. The default is all entries.
Limits to a specific control account number. If the field is left empty, all accounts are included.
Limits the report to a single supplier. Leave the field empty to include all suppliers.
Splits the result per organizational unit. This setting only takes effect in the Excel variant of the report.
