The Accounts receivable balance report gives you an overview of how much your customers owe as of a specific fiscal date. For each customer the total balance is shown broken down into age intervals by due date — from amounts not yet due, through intervals such as 0-1 week, 1-2 weeks, 2 weeks to 1 month, 1-2 months and 2-3 months, all the way up to entries that are more than 3 months old. In addition, the overdue balance and the total balance per customer are shown.
The report is typically used for following up on arrears and for assessing how old a receivable is, so you can prioritize reminders and collection. The report has a company header and is based on your user and unit context, so you only see the organizational units you have access to.
The report is started in Financial via the report selector. It is available both from the customer overview and from the accounting report menu. Select Accounts receivable balance, fill in the desired parameters and run the report.
The report comes both as a PDF variant (for printing and viewing) and as an Excel variant (for further processing in a spreadsheet). Note that the color coding only works in the PDF variant — see below.
Limits the balance to one or more selected organizational units. If you leave the field empty, all units are included — but only within the units you as a user have access to.
Specifies the cut-off date. The balance is calculated up to and including this fiscal date, so you can see the customers' position at a specific point in time. If the field is left empty, no upper date limit is applied.
Determines which customers are included in the print. You choose between Customers with a balance, Customers with an amount owed, Customers with an overdue balance, Customers with a not-yet-due balance and Customers with credit. The default selection is Customers with an overdue balance, so the report focuses on arrears by default.
Filters on a specific control account number if you only want to see customers linked to one account. If the field is left empty, all are included.
Limits the print to a single customer by entering the customer's number. If the field is empty, all customers that meet the other filters are included.
Determines whether the rows should be color-coded by due status. If you choose Yes, rows are highlighted with color depending on the ratio between the overdue balance and the total balance, so customers with large or older arrears stand out clearly. The default is No. Note that this color coding only takes effect in the PDF variant — the Excel variant has no color logic.
