An exchange label is the slip the customer takes home as documentation of a purchase, which can be used for a later exchange or return. On this page you set up how long an exchange label is valid, whether staff may choose an activation date, and how the label looks if it is printed directly.
Exchange labels can be produced in two ways. Either via Microsoft Report Builder (a report-based layout with more design options), or by direct printing from the machine where the CRS Agent is installed. Direct printing is faster but offers fewer layout options, and is controlled by the template, the margins and the paper size on this page.
Note: Which printer is used for exchange labels is chosen under the printer setup via the logical printer "Exchange Label" — not here on this page. The printer used to be specified directly in the settings, but that field is now obsolete.
1. Open the hamburger menu in the top left corner of Sapera and select "Financial".
2. Go to "Setup" → "Settings" → "Point of Sales" → "Exchange Label".
These settings determine how long an exchange label can be used and when it takes effect.
Exchange Label Due Days: Specifies how many days from the activation date the exchange label is valid. The value is used to calculate the expiry date automatically. The default is 10 days.
Use Due Days as Business Days: Determines whether the validity days are counted as business days or ordinary calendar days. When enabled (default), only weekdays (Monday-Friday) are counted, so weekends do not "eat into" the validity. When disabled, all calendar days are counted.
Is Activation date selection allowed: Determines whether staff may choose a specific activation date for the exchange label — for example if the label should only be valid from a future date (typically for gift-card-like use). When enabled (default), the user may choose an activation date. When disabled, the activation date is automatically set to today's date.
PrinterName: Obsolete setting. The printer for exchange labels is no longer chosen here, but via the logical printer "Exchange Label" under the printer setup. Any existing value in the field is transferred there automatically, and the field no longer needs to be filled in.
The following settings are only used when direct printing is enabled. If you instead produce exchange labels via Report Builder, they have no effect.
Use Exchange Label Direct Print: Determines whether the exchange label should be printed directly from the local machine via the CRS Agent instead of being produced via Report Builder. When enabled, the label is printed directly from the template below. When disabled (default), the label is produced via Microsoft Report Builder.
Template: The content template itself for the exchange label for direct printing. In addition to the ordinary label commands, the following fields can be inserted, where they are filled in automatically with data from the sale:
{Product.Identifier} inserts the item number. {Product.DisplayName} inserts the item name. {ExchangeLabelIdentifier} inserts the exchange label's own number. {SaleIdentifier} inserts the sale's receipt number. {barcode} inserts a barcode with the exchange label's number, which can be scanned at exchange. {Amount} inserts the item's amount. {AmountCode} inserts the amount in coded form, where the digits are replaced by letters, so staff can read the price without the customer being able to do so immediately. {CreationDate} inserts the sale's date. {ValidToDate} inserts the last valid date. {Quantity} inserts the quantity.
Top Margin: Top margin on the exchange label in millimeters for direct printing. The default is 2.
Left Margin: Left margin in millimeters for direct printing. The default is 2.
Right Margin: Right margin in millimeters for direct printing. The default is 2.
Bottom Margin: Bottom margin in millimeters for direct printing. The default is 0.
Paper Size Width (mm.): The width of the paper the exchange label is printed on, in millimeters. Must match the printer's physical label format. The default is 52.
Paper Size Height (mm.): The height of the paper the exchange label is printed on, in millimeters. Must match the printer's physical label format. The default is 30.
The setting "Check all items on Exchange Label creation" (whether all items are automatically selected when an exchange label is created) does not belong here, but is found under the "Cash Register" category.
