The email queue in Sapera shows all outgoing emails that the system has attempted to process. This applies to emails with all processing results: emails that were sent correctly, emails that have not yet been processed, and emails that failed during generation or sending. The overview is used to follow up on email communication and to identify and investigate errors.
The email queue is a central log for all outgoing email in the system. Entries are created automatically when Sapera attempts to send an email — this can for example be order confirmations, invoices, receipts or other system-generated messages. You can use the overview to check whether a specific email was sent correctly, and to see the full error message if the send failed.
Open the Financial app via the hamburger menu. Then select Calendar / Communication and click Email queue.
If you cannot see the menu item, you probably do not have permission for it. Contact support.
When you open the Email queue, you see a paginated list of all outgoing email entries in the system. The columns can be sorted and filtered directly in the list. You can also choose which columns to show using the column selection feature in the grid's top right corner.
See How to search in lists for more about searching and filtering.
Created on: Date and time for when the email entry was created in the system. The column can be sorted and filtered on a date range.
Created by: The user who created the email entry. The column can be filtered via user lookup.
Updated on: Date and time for the most recent update of the entry. The column can be sorted and filtered on a date range.
State: Indicates the processing result for the email. The column can be sorted and filtered on specific state values. There are four possible states:
Success — The email has been processed and sent correctly.
Not processed — The email is awaiting processing and has not yet been attempted to send.
Email could not be generated — An error occurred while building the email content, and the email has not been sent. The error message can be seen via the Error button.
Print failed — One or more reports attached to the email failed during generation. The email has not been sent correctly. The error message can be seen via the Error button.
Runtime error: Shows the technical error message from the processing process, if an error occurred during sending. The column can be sorted and filtered via text search. If there is no error, the field is empty.
Print error: Shows composite error messages from the report results associated with the email entry. The field combines error messages from all related report results, separated by `|||`. The column cannot be filtered or sorted directly. If there are no report errors, the field is empty.
The Refresh button reloads the current page in the overview with the latest data from the system. Use it if you want to make sure that the list reflects the current processing status for recent emails. The button is always available.
The Error button opens a dialog box with the full error message for the selected email entry. The dialog box shows the technical error message from the processing process and any error messages from associated report results. If there are errors from several reports, they are shown separated by line breaks in the text.
The button is only active when the selected entry's state is Print failed or Email could not be generated. For entries with the state Success or Not processed the button is inactive.
You can customize which columns are shown in the list by clicking the column selection icon in the grid's top right corner. Your choices are saved per user, so the overview looks the same the next time you open it.
