A gift card type is a template that determines how a gift card looks and behaves in Sapera. When you create a gift card — either in the POS application or in the gift card administration — you select a gift card type, and the specific gift card inherits its name and amount from the type.
Gift card types are a setup screen. You define the types here once, and they are then used continuously in sales and administration processes.
Open Financial and select Gift cards & credit notes in the menu on the left, then Gift card types.
If you cannot see the menu item, you probably do not have permission for it. Contact support.
The screen shows a list of all created gift card types with the following columns:
Item number is the unique product number for the type.
Display name is the name shown for the type.
Amount specifies the fixed amount for the type. The field is empty if the type is created with a free amount.
You can click a row to select it, after which the action buttons Edit and Delete are enabled. A double-click on a row opens the edit panel directly.
Create (plus icon) is always active and opens the create panel in the same screen.
Edit (pencil icon) is only active when a type is selected in the list. Opens the edit panel in the same screen.
Delete (cross icon) is only active when a type is selected in the list. Shows a confirmation dialog before deletion. Deletion fails with an error message if there are gift cards associated with the type. The type can only be deleted when no gift cards use it.
Help (question mark icon) opens this help article.
The create and edit panel is shown inline in the same screen below the list — no separate dialog opens.
Item number: A unique product number that identifies the gift card type in the system. The field is required. The item number must be unique across all gift cards and inventory products. The item number can only be specified at creation and cannot be changed afterwards.
Display name: The name shown for the gift card type. The field is required. The display name can only be specified at creation and cannot be changed afterwards.
Amount: The fixed amount for the gift card type. The field is optional. If it is left empty, an amount must be specified manually each time a gift card of this type is sold. The amount can only be specified at creation and cannot be changed afterwards.
Allow multiple withdrawals: Checkbox that determines whether the gift card can be used for several partial payments until the balance is used up. If the field is not checked, the gift card is fully consumed on the first withdrawal. This setting can be changed after creation.
Item number, Display name and Amount can only be filled in at creation. Once a gift card type is saved, these three fields cannot be edited. Only Allow multiple withdrawals can be changed on an existing type.
If you want to change the item number, display name or amount on an existing type, you must delete it and create a new one — provided no gift cards are associated with the type.
When you create a new type, the discard button is labelled Cancel. When you edit an existing type, the button is labelled Close. Click Save to save your changes.
Gift card types are used in the following places in Sapera:
Create gift card (the gift card administration): When you create a new gift card from the gift card overview, you select a gift card type in a dropdown. The type determines the name and amount of the specific gift card.
Create gift card from product lines: In the product line grid, gift cards can be created directly. Here you likewise select a gift card type, and a quantity can be specified.
The POS application: When a gift card product is scanned at the POS, the system looks up the type via the item number and creates the gift card with the values the type defines.
The gift card overview: The gift card type is used as a filter column, so you can search and filter across types.
