In Sapera, payouts are used to register and document cash payouts from the till. This can, for example, be smaller cash outlays, refunds or other situations where money leaves the company physically or in accounting terms.
The module makes it possible to overview all payout transactions and document them with attachments. Payouts are created from the cash register screen in the Pos app, while the overview with details and receipt printing is available from Financial.
Payouts are accessed via Financial.
From Financial navigate to "Sales" and then to "Payouts". You are now on the overview of registered payouts.
If you cannot see the menu item, you most likely do not have permission for it. Contact support.
The screen can also be accessed from the Pos app, which contains the same overview module, but is primarily used to create new payouts via the "Expense" button on the cash register screen.
When you open Payouts, you are presented with a table overview of all registered payouts. The overview updates automatically when you change the filter settings.
View: Opens the detail dialog for the selected payout. The action is only active when a row is selected. Double-clicking a row in the table gives the same result.
Print receipt: Prints a cash receipt for the selected payout. The action is only active when a row is selected.
Created on: Shows the date the payout was registered in the system. The column can be sorted and filtered on a date range.
Org. unit: Shows the organizational unit the payout belongs to. The column is only visible when not filtering on a specific till. It can be filtered via an OU filter.
Till: Shows the till's display name. The column is only visible when not filtering on a specific till.
Cashier: Shows the name of the employee who made the payout. The column can be sorted.
Description: A free-text description of the purpose of the payout. The column can be sorted and filtered via text search.
Contra account: The account number of the user-selected contra account. The column is always shown, but is empty if no contra account is selected.
Amount: The amount of the payout shown as currency. The column can be sorted and filtered on an amount range.
You can choose which columns are shown in the overview using the column selector in the table. Most columns support sorting, which is activated by clicking the column header.
The detail dialog is opened by clicking "View" or by double-clicking a row in the overview. The dialog shows all information about the selected payout.
The dialog contains the "Print receipt" button, which prints a cash receipt for the payout.
Payment option: Shows the payment option used for the payout. The field is read-only.
Amount: Shows the payout's amount as a monetary amount. The field is read-only.
Contra account: Shows the account number of the user-selected contra account. The field is only visible if a contra account was selected at creation.
Description: Shows the free-text description of the payout. The field is read-only.
The detail dialog contains the "Attachments" tab, which makes it possible to link files to the payout after creation.
The following actions are available in the attachments tab:
Add: Opens a file upload so you can attach a file. You can also drag and drop files directly to the list.
Delete: Deletes the selected attachment. The action is only active when an attachment is selected.
Download: Downloads the selected attachment. The action is only active when an attachment with the option to download is selected.
The attachment list shows the following columns for each attachment: Title, File name, Content type and Created on.
Payouts are created from the cash register screen in the Pos app. Press the "Expense" button on the cash register screen to open the creation dialog. The button must be configured as a sales screen button by an administrator for it to be visible.
Payment option: Dropdown where you select which payment option the payout is made with. Only cash and non-integrated payment options are available. The field is mandatory.
Amount: Enter the payout's amount. The field is mandatory.
User-selected contra account: Checkbox that enables selection of a contra account. When the checkbox is checked, the Contra account field is shown.
Contra account: Select the general ledger account the expense is to be posted against. The field is only visible when "User-selected contra account" is checked.
Description: Free-text field to describe the purpose of the payout.
Attachments: Upload one or more files to be linked to the payout at creation. Files can be dragged and dropped or selected via file selection.
Press "Register" to complete the creation.
