An option set is a named collection of options that can be linked to a product, a product category or a product variant. When a product with a linked option set is sold in the Pos, the cashier is presented with the options defined in the set — for example extra accessories, ingredients or supplementary services.
A set can be reused across many products and product categories. The set defines which products can be chosen, in what quantities — including minimum, maximum and default quantities — and in what order the options are presented.
From the hamburger menu in the top left corner, open Financial. In the left menu select Setup → Option sets.
You are now on the option sets overview, where you can view, create, edit and delete sets.
If you cannot see the menu item, you probably do not have permission for it. Contact support.
The overview shows all created option sets as a list. You can sort on the columns System name and Display name by clicking the column header.
The overview supports column selection — click the column selector icon to show or hide columns. The columns Created, Created by, Updated and Updated by are hidden by default and can be enabled via column selection.
You can open editing of a set either by selecting the row and clicking Edit, or by double-clicking directly on the row.
New — creates a new option set. The button is always active.
Edit — opens editing of the selected set. Requires that a row is selected. You can also double-click a row to open editing.
Delete — deletes the selected set. Requires that a row is selected. If the set is in use on one or more products, product categories or product variants, Sapera shows an error message stating these places. Remove the link in the relevant places, then try to delete again.
Click New to create a new set, or select an existing set and click Edit (or double-click the row). The edit screen opens.
Fill in the fields, add at least one option, and save with Save and close. Click Cancel to discard changes.
System name: A unique technical name that uniquely identifies the set in the system. The system name is required and cannot be changed after the set is created. If a set with the same system name already exists, Sapera shows an error message.
Display name: The name of the option set shown to users in Sapera. Required.
Options: The list of the products that are part of the set. There must be at least one option to save the set. The order of options in the list determines the presentation order in the Pos — see the section below about controlling the order.
In the edit screen for an option set, the list of options is shown with the columns Product/variant, Min quantity, Max quantity, Default quantity and Custom sales price. The list supports column selection.
Add option (plus icon) — opens a dialog for creating a new option in the set.
Edit option (pencil icon) — opens editing of the selected option. Requires that an option is selected. You can also double-click an option to open editing.
Remove option (minus icon) — removes the selected option from the set. Requires that an option is selected.
Move up (up arrow) — moves the selected option one place up in the order. Active when the selected option is not already at the top.
Move down (down arrow) — moves the selected option one place down in the order. Active when the selected option is not already at the bottom.
Product: The product offered as an option. Required. The field is an autocomplete search field. The product cannot be changed after the option is created.
Variant: A specific product variant, if the product supports variant management. Optional. The field is an autocomplete search field and is reset automatically if the product is changed during creation. The variant cannot be changed after the option is created.
Min quantity: The smallest quantity the customer can choose of this option. Required, non-negative and without decimals. The default value for a new option is 0.
Max quantity: The largest quantity the customer can choose. Required, non-negative and without decimals. The default value for a new option is 10. Max quantity must not be lower than Min quantity — Sapera shows an error message if the condition is not met.
Default quantity: The quantity preselected when the option is presented in the Pos. Optional, non-negative and without decimals. The default quantity must lie within the range Min quantity–Max quantity — Sapera shows an error message if the condition is not met.
Custom sales price: A price that overrides the product's normal sales price when the option is chosen. Optional. Cannot be negative.
Click OK to save the option in the set. Click Cancel to discard.
Option sets are defined here under Setup, but are linked and activated in three places in Sapera.
When a product is edited, the Option sets tab is shown if the product template has enabled the option set capability. If the tab is not visible, the product template does not support option sets for this product.
On the tab you can add one or more existing option sets by clicking the plus icon, which opens a dialog with a dropdown of available sets (Add option set). You can remove a link with the minus icon and change the order of linked sets with the up/down arrow buttons.
When a product category is edited, the Use option sets checkbox must be checked for the Option sets tab to be shown on the category. If the checkbox is not checked, the tab is hidden. On the tab, sets are linked in the same way as on the product.
When a product variant is edited, the field Use option sets (pos) is shown, which controls which option sets are active in the Pos for this variant. The field has the following options:
Do not use — option sets are not used for this variant in the Pos.
Use option sets (pos) from category (if defined) — the Pos uses sets linked to the variant's product category, if the category has option sets enabled.
Use option sets from product — the Pos uses sets linked to the variant's parent product.
Use option sets from product or category (if defined) — the Pos uses sets from the product, and supplements with sets from the category, if the category has option sets enabled.
Use option sets from product variant — the Pos uses sets linked directly on the variant. The Option sets tab is only shown on the variant when this option is selected. On the tab, sets are linked in the same way as on the product and the category.
The priority choice on the variant is the decisive control link: it determines which level the Pos fetches option sets from, regardless of what is linked at the other levels.
When you click the plus icon on the Option sets tab on a product, a category or a variant, the Add option set dialog opens. Here you select an existing set from a dropdown. The dropdown list contains all option sets except those already linked.
Click OK to confirm. Click Cancel to close without linking.
