A role describes a specific type of actor in the system. Examples of system roles are Customer, Supplier, Employee, Department and Security user. Roles are used to control which fields are available for actors with the role, which layout is used for display, and whether the role appears in the catalog.
An actor can have multiple roles at once; however, the Customer and Supplier roles cannot be assigned to the same actor.
From the hamburger menu in the top-left corner of Sapera, open Financial. In the left menu, select Actor Library → Roles.
If you cannot see the menu item, you probably do not have permission to access it. Contact support.
The overview shows all roles in the system with the columns Display name, System name, Description and a marker for Enabled. You can double-click a row to edit the role.
Use the buttons in the top-right corner to create a new role (plus icon) or edit a selected role (pencil icon).
Display name: The name shown to users in the system.
System name: A technical, unique name that identifies the role in the system. The system name can only be set at creation and cannot be changed afterwards.
Short name of role: An optional localizable name for use in shorter contexts.
Layout: The layout used for displaying actors with this role.
Description: A free-text description of the role.
Fields: A list of the additional fields (EAV fields) attached to the role. For each field, you can specify whether the field is mandatory.
Roles: A list of related roles. Used to specify that actors with this role are automatically also assigned other roles.
Settings: Opens a dialog with archiving settings for the role.
Enabled: Indicates whether the role is active and can be assigned to actors.
Catalog: Indicates whether the role is shown as a separate catalog in the navigation.
Via the button Settings you can configure automatic archiving for each role:
Archive inactive actors after (days): Number of days without user activity after which the actors are archived automatically.
Archive actors without a user after (days): Number of days without an associated user after which the actors are archived automatically.
Delete archived actors after (days): Number of days in the archive before the actors are deleted permanently.
