The Internal transfer archive is a view in Financial that gives you a combined overview of all processed (completed) internal stock transfers. A transfer is processed when all entry lines have been completed and the goods movements have been posted to stock and possibly in the accounts.
It is important to distinguish between two related screens:
Internal transfer archive shows only the transfers that have already been processed and completed. This is where you look up the history, see details and can explore the associated vouchers.
Internal transfers (accessed via Product in Financial) is the work surface where you create and edit drafts and entry lines, and from which you click "Process" to complete a transfer. Drafts under preparation are not shown in the Internal transfer archive.
Open Financial and go to the menu Product. Select Internal transfer archive. You now arrive at the list view of processed transfers.
If you cannot see the menu item, you most likely do not have permission for it. Contact support.
The list view shows one row per processed transfer operation. Each operation can contain several entry lines.
Draft: The name of the transfer draft the operation originates from.
Source org. unit: The organizational unit or units the goods have been transferred from. If there are more than three units, the first three are shown followed by "...".
Destination org. unit: The organizational unit or units the goods have been transferred to. Same display logic as Source org. unit.
Stock date: The stock date or dates registered on the entry lines in the operation. If there are more than three dates, the first three are shown followed by "...".
Created: Date and time of when the transfer operation was created.
Created by: The user name of the user who created the operation.
Quantity: The number of entry lines in the operation.
At the top of the columns you can filter the view. The following columns have filters:
Draft: Search on draft name.
Source org. unit: Select one or more source units.
Destination org. unit: Select one or more destination units.
Stock date: Specify a date range to limit by the stock dates of the entry lines.
Created: Limit by the creation date of the transfer operation.
The filters are combinable, and the list reloads automatically when you change a filter.
All transactions: Button in the top left. Opens the "All stock transfer lines" view, which shows the individual entry lines across all transfer operations (see below).
Information...: Button in the top left. Active when a row is selected. Opens the detail popup "Internal transfer details" with all information about the selected transfer operation.
Double-click a row: Opens the same detail popup as the "Information..." button for the relevant operation.
The popup is opened via the "Information..." button or by double-clicking a transfer operation in the list. It shows detailed information about the selected processed transfer operation.
Created by: User name of the user who created the transfer operation.
Created: Date and time of the creation.
Re-post: A button that is only visible to administrators. Clicking it re-posts the accounts for the relevant transfer operation. Used in special cases, e.g. if a linked accounting voucher needs correction.
The tab shows all entry lines included in the transfer operation. For each line element the following columns are shown (additional columns can be shown or hidden via the grid's column selector):
Stock date: The date the goods movement was registered in stock.
Product: Item number and product name.
Variant: The product variant, if the product has variants.
Serial number item: The serial number of the specific serial number item, if relevant.
Product category: The product category the item belongs to.
Quantity: The transferred quantity.
Source org. unit: Organizational unit that issued the item.
Source stock location: The stock location at the source unit, if locations are set up.
Customer: Any linked customer on the entry line.
Destination org. unit: Organizational unit that received the item.
Destination stock location: The stock location at the destination unit, if locations are set up.
Supplier: Any linked supplier on the entry line.
Cost price: The registered cost price for the item at the transfer.
Sales price type: The calculation method selected for the sales price on the entry line. Possible values are:
Cost price (FIFO) — the sales price is set equal to the cost price calculated using the FIFO method.
Standard cost price — the sales price is set equal to the item's standard cost price.
Sales price - 0% — the sales price is set equal to the item's ordinary sales price without discount.
Sales price - 25% — the sales price is set to the sales price less 25%.
Cost price - 10% — the sales price is set to the cost price less 10%.
Cost price - 70% — the sales price is set to the cost price less 70%.
Cost price - 90% — the sales price is set to the cost price less 90%.
Cost price + 10% — the sales price is set to the cost price plus 10%.
Sales price: The specific sales price calculated from the sales price type. Shown in bold if the price is manually overridden.
Description: Any free-text description on the entry line.
If you right-click (or press and hold) an entry line in the popup, a context menu is shown with the following options:
Open product page: Opens the product's detail page in a new dialog, from which you can view and edit the product master data.
Open serial number item: Shown only if the entry line has a linked serial number item. Opens the serial number item card for the relevant instance.
For each organizational unit linked to one of the transfer's stock vouchers, a separate tab is created with the title "Stock voucher (org. unit)". The tabs are only shown if a stock voucher has been generated for the transfer. Here you can review voucher lines and the stock movements registered per unit.
Similarly, for each linked accounting voucher a tab is created with the title containing the voucher number and organizational unit, e.g. "Accounting voucher 1234 (Center Store)". The tab is only shown if an accounting voucher has been generated for the transfer. Here you can see the posted accounting lines.
If you click the button All transactions in the list view, a separate view with the title "All stock transfer lines" opens. Here all individual entry lines across all transfer operations are shown — including lines that are not yet linked to a processed operation.
Processed (icon): A boolean icon that indicates whether the entry line is linked to a processed transfer operation.
Processed (date+time): The exact time the line was processed. The column is sortable and can be filtered on a date range.
Draft: The name of the transfer draft the line originates from.
Stock date: The date the goods movement was registered. Sortable.
Product: Item number and product name.
Variant: Product variant.
Serial number item: Serial number on linked serial number item.
Product category: The product category's name.
Quantity: The transferred quantity.
Source org. unit: Source unit for the line's goods movement.
Source stock location: Stock location at the source unit.
Destination org. unit: Destination unit for the line's goods movement.
Destination stock location: Stock location at the destination unit.
Cost price: The cost price registered on the line. Sortable.
Sales price type: The selected sales price type (see the description of possible values under the "Entries" tab above).
Sales price: The calculated or manual sales price.
The grid supports filtering on the following columns: Processed, Processed (date), Draft, Stock date, Product, Product category, Source org. unit, Source stock location, Destination org. unit and Destination stock location.
Internal transfer archive (back button): Top left. Navigates back to the list view of processed transfer operations.
Information...: Active when a line is selected and the line is linked to a processed operation. Opens the detail popup "Internal transfer details" for the associated transfer operation.
Double-click a line: Opens the detail popup for the associated transfer operation, but only if the line is processed (i.e. linked to a completed operation).
If you right-click an entry line in this view, a context menu is shown with:
Open product page: Opens the product's detail page.
Open serial number item: Shown only for lines with a linked serial number item. Opens the serial number item card.
Internal transfer details: Shown only for processed lines. Opens the detail popup for the associated transfer operation.
