The stock settings control how Sapera handles stock withdrawals, locations, cost price updates and voucher numbering in the stock and product screens. You find them in Financial under Setup → Settings → Inventory → Stock.
If you cannot see the menu item, you most likely do not have permission for it. Contact support.
Use stock: Specifies whether Sapera should enable stock management and thereby keep track of inventory at stock locations. When the setting is turned on (default value: Yes), Sapera registers all stock movements and keeps an up-to-date inventory. If turned off, Sapera does not support stock management, and inventory figures are not maintained.
Allow negative stock: Specifies whether it is allowed to have negative stock, for example when issuing goods that have not yet been physically received and registered. Default value: Yes. If the setting is set to No, Sapera will warn if an issue larger than the current inventory is attempted to be registered.
Adjust stock cost prices: Specifies whether Sapera may adjust cost prices based on the value of registered stock movements. Default value: Yes. If the setting is set to No, no automatic adjustment of cost prices based on stock movements is made.
Force use default location: Determines whether Sapera should use stock locations actively, or whether all stock movements are automatically placed at the warehouse's fixed default location. Locations make it possible to specify precisely where in the warehouse an item is physically located — for example, each shelf rack, shelf or part of a shelf can be its own location.
Default value: Yes (the default location is always used). With this value, Sapera automatically selects the default location at stock movements, and any location selection is reset at posting. The location selector is skipped at the till and in drafts. This is the simplest choice for stores and warehouses where it is not necessary to know precisely which shelf an item is on.
If the setting is set to No, locations are used actively: the user can select a specific location at stock movements, and the location is retained at posting. Inventory and cost price are maintained per location, and it is possible to count and trace items down to the individual rack or shelf. This requires that stock management (Use stock) is turned on.
Show locations from OU in draft: Determines whether locations from the current organizational unit should be shown in stock drafts. Set to Yes, locations from the current unit are shown. Set to No, they are not shown.
Auto update cost price category default: Specifies the default value for whether cost price should be updated automatically at purchase or receipt. Default value: No. The value applies per product category — the individual product categories can deviate from the default. Set to Yes, cost price is by default updated automatically for all product categories.
Allow define stock appendix number: Specifies whether the user may specify a specific voucher number at stock entries. Used, for example, when stock movements from sales and purchase invoices are to be posted with a specific external reference or voucher series. Set to Yes, the user can specify the voucher number manually, and it is applied to the stock entries. Set to No, Sapera assigns the voucher number itself from the normal number series.
Is alternative appendix number required in delivery stock draft: Specifies whether it is mandatory to specify an alternative voucher number at delivery drafts in stock. Can be used to ensure a reference to, for example, external freight or delivery notes. Set to Yes, an alternative voucher number is required at delivery drafts. Set to No, it is optional.
Suggest add entries to label draft after booking: Specifies whether Sapera should suggest adding entries to a label draft immediately after posting. Default value: No. Set to Yes, Sapera will show a suggestion to add the posted entries to a label draft.
Enable product changes on booking for settlement drafts: Specifies whether it is allowed to change products in settlement drafts at the time of posting. Set to Yes, products can be changed in settlement drafts during posting. Set to No, it is not possible.
Allow transfer instance when not on stock: Controls what happens if a product instance (serial number item) is attempted to be transferred to another location, even though it is not currently registered as being in stock. Default value: Allow (transfer permitted without warning).
Allow: Transfer is permitted without warning, even though the instance is not registered as in stock.
Warn: Transfer is permitted, but Sapera shows a warning to the user.
Block: Transfer is prevented if the instance is not registered as in stock.
Allow negative stock for instances: Controls whether it is allowed to have negative inventory on product instances (serial number items). Typically used if registration occurs offset relative to the physical movement. Default value: Yes. Set to No, Sapera will prevent actions that lead to negative inventory on serial number items.
